GENERAL SYSTEM FEATURES
- Supports diverse types of warehouses and stockrooms including warehouse distribution centers and stockrooms like: central supply, pharmacies, supply processing and distribution (SPD), operating rooms, laboratories, and linen exchange.
- Supports carts, including mobile (exchange), fixed (par), and surgical/case carts, point-of-use and mother/sibling cart relationships.
- Uses built in bar code label and hand-held terminal (HHT) functionality to perform warehouse/stockroom and cart inventories, includes bar-code templates for locations on all carts.

Maintain Stockroom and Stockitem Transactions
- DynaMed supports multiple stockrooms and maintains information about each stockroom. This information is used by the system to organize inventory requisitioning and processing. Stockroom information includes:
- Stockroom identification and delivery location data.
- Stockroom safety level days, operating level days, and average order ship time.
- Allowable stockitem security codes.
- Days of the week when the stockroom is normally replenished.
- DynaMed maintains stockitem information by stockroom. This information is used by the system to control inventory levels and to trigger requisitions. Stockitem information includes the following:
- UPN and/or hospital-specific unique stockitem number and name.
- Stockitem security code.
- Unit of Purchase, unit of measure, unit of issue and UI/UM conversion factors.
- Location or locations of the stockitem within stockroom.
- Computer generated random storage locations.
- Unit of issue price.
- Quantity on hand (system maintained).
- Reorder and requisition objective points for the stockitem.
- Stockitem due-in and due-out quantities (system calculated based on user orders and stockroom requisitions).
- Vendor or supplier of item, and average order ship time.
- Patient chargeable item flag, and expiration dated/lot item flags.
- Latex flag.
- DynaMed provides Monthly Demand Analysis for each stockroom item.
- Supports non-issuable items with management, tracking and reporting functionality.

Maintain Cart and Cart Item Transactions
DynaMed provides the capability to identify and maintain information on each fixed shelf (par), exchange, and case cart which carries and supplies stockitems. Case carts support physician preference lists and assembly charges. Other attributes are maintained, such as, Doctor name, theater, patient name, CPT codes when passed through a standard API interface. Cart information is used by the system to direct cart inventory and replenishment processing. Cart specific information includes:
- Cart identification data.
- Cart ownership identification data.
- Cart type (fixed cart, mobile cart, surgical/case cart, mother and sibling carts).
- Cart replenishment day(s) and frequency.
- Allowable stockitem security codes.
- DynaMed maintains information on the stockitems stored on each cart. This information is used by DynaMed to direct inventory and replenishment processing for a cart. Cart item information includes:
- Cart and stockitem identification.
- Stockitem target quantity for the cart.
- Location of stockitem on the cart.
- DynaMed automatically generates cart assembly requisitions, pick lists, and requisition adjustment reports when carts are assembled, inventoried, or when stockitems are changed.
- DynaMed provides Demand Analysis Reports for cart items by cart.
- Surgical packs and instrument kits with assembly charges
- Provides the capability to display all locations of an item used on all carts and items that are included in a surgical pack or instrument kit.
Process Customer Orders and Stockroom Requisitions
- Automatically updates stockitem quantity on hand (QOH) when a customer order is processed.
- Automatically generates an issue slip containing pertinent information to fill the customer order.
- DynaMed supports backorders for customers and carts independently and automatically creates the required backorder record when a stockitem cannot be filled.
- Assigns a unique document number to each stockitem within a requisition.
- Stockitem requisitions are linked to the ordering stockroom.
- The system automatically creates a stockroom requisition for stockitems when the stockitem net assets falls below the stockitem's reorder point.
- A list of stockitems requisitioned is generated daily for each stockroom. This list identifies the stockitem, stock number and/or hospital specific unique stockitem number, vendor, unit of issue, quantity ordered, and price. This list may be reviewed on-line and edited quantity and 'Funds checking'.
- The stockroom manager can manually process requisitions for stockitems already registered in the stockroom. The manager may also declare, register and requisition new stockitems for the master item list.
- Supports Prime Vendor and PV interfaces through standard API's.
- The system can record Purchase Order numbers, PO notes, Vendor names and expected receipt date for tracking purchases of stockitems.
Process Receipt of Stockitems
- Accepts full or partial receipt of stockitems. Stockitems may be received in either UI or UM to accommodate partial shipments.
- Upon receipt, the system fills all backorders, prints out the picklist and then puts the remaining balance into inventory.
- Automatically adjusts the stockitem balances and changes or closes out the user backorder (if applicable) and the stockroom requisition.
- Stockroom requisitions and the user backorder remain open until the order is completely filled, canceled, or closed out.
- Following receipt, DynaMed automatically converts the unit of issue to the unit of measure based on the stockitem's unit of issue/unit of measure conversion factor.
- DynaMed displays and generates a report of all stockitems backordered listing quantity due in, supplier, price, and order status.
- DynaMed generates a receiving report by stockroom.
- Supports the putaway to multiple locations for the same item (i.e. Bulk, Bin, Carousel, etc).
- Supports centralized receiving for multiple stockrooms.
Process Stockroom Inventories
- Supports stockroom inventory by uploading item counts from hand-held bar-code readers; alternatively, item counts may be entered manually at a terminal.
- DynaMed will produce a manual inventory list of stockroom items when manual inventory is initiated.
- Supports both partial and wall-to-wall inventories.
- Automatically updates and adjusts stockitem quantities based on results of inventory and makes all the appropriate accounting entries.
- Following the entry of inventory results, the system automatically produces discrepancy reports for either wall-to-wall or partial inventories.
- DynaMed displays stockitems not counted or missed and allows the user to update uninventoried stockitem quantities.
- DynaMed allows updates from the discrepancy report by:

- stockitems whose quantities do not match the current system counts; stockitems counted more than once;

Process Cart Inventories
- DynaMed supports cart inventory by uploading item counts from hand-held terminals; alternatively, counts may be entered manually at a terminal.
- Automatically generates a cart inventory backup list and worksheet of cart items when manual inventory is initiated.
- Automatically produces a cart restock list for use as a picklist to replenish cart items.
- A consolidated picklist for carts associated with a specific mother cart can be generated for use in replenishing all associated carts inventoried.
- Supports the 'Grouping' of picklist, which would generate a summary picklist followed by each detail picklist.
- Automatically adjusts the stockitem quantity based on cart items needing replenishment and makes all the appropriate accounting entries.
Process Inventory Adjustments, Returns, and Corrections
- The adjustments may be made to the stockitem quantity on hand in the event that:
- Stockitems are lost, broken, spoiled, outdated, or if additional items are discovered.
- It is discovered that one stockitem was mistaken for another during receipt.
- The stockitem is recalled or otherwise returned to the vendor.
- DynaMed automatically notifies the user when: the adjustment does not match the current received quantity; adjustments bring the quantity on hand to zero; or all items are not available to assemble the surgical pack or instrument kit.
- Automatically produces a picklist of stockitems for use in assembling the surgical pack is sequence and in location within the stockroom.
- When a customer returns a stockitem, DynaMed automatically issues a customer credit and increases the inventory quantity.
Display and Cancel Customer Orders and Stockroom Requisitions
- DynaMed displays and permits cancellation of existing customer backorders and stockroom requisitions for a specific stockitem.
- Automatically decreases the quantity due in or due out based on the cancellation type.
- Supports PO line item cancellation and item cancellation
Generate Standard Reports
The DynaMed system provides over 60 on-line and printed reports for management and daily operations. These include:
- Stockitems currently out-of-stock or expected to be out-of-stock based on historical usage, including status and quantity of items due in and due out.
- Stockitems due in based on stockroom requisitions, including quantity due in and order priority and expected receipt date
- Cart issue transactions for a specific cart, including current cart inventory and replenishment quantity.
- History on item usage by day of week for both stockroom and carts.
- Stockitems issued to a customer for a specific period, including location and quantity of items required on each cart.
- Listing of carts carrying a specific stockitem, including quantity of items required on each cart.
- Listing of customer backorders by customer, including quantity and requisition date.
- Listing of items and quantities stocked on a specific cart with total cart value.
- Listing of mobile (exchange) carts by ownership indicating when carts are to be restocked.
- Listing of all customers, including location, point of contact, and phone number for a specific stockroom.
- Listing of carts supported by a specific stockroom.
- Weekly schedule of carts to be inventoried and replenished.
- Listing of items stocked in a specific stockroom by Item or by hospital-specific unique identification number to include such data as price, unit of issue, unit of measure, and unit of issue/unit of measure conversion factor.

Flag All Items Containing Latex
- Because of potential allergies to latex, and the resultant sever reactions that have occurred, the DynaMed system supports flag indicators of all stockitems containing latex.
- Bar codes for these items may be printed on colored stock such as red or yellow for instant identification.
- DynaMed published catalogs can be designed to carry latex information for each stockitem.
